PRIVACY POLICY
Dandenong Baseball Club respects the privacy of our members, players, families, volunteers, supporters, visitors and people who contact the Club.
This Privacy Policy explains the types of personal information the Club may collect, why we collect it, how it may be used and disclosed, and how you can contact us about your information or a privacy concern.
This policy has been written for the Club and website as they operate today and will be reviewed as new online services are introduced, including registrations, payments, merchandise sales and member-only services.

Protecting Personal Information
Dandenong Baseball Club aims to handle personal information responsibly, transparently and only for legitimate Club purposes.
The Club will seek to collect only information that is reasonably required for its activities and will take reasonable steps to protect information in its care.
Australian privacy obligations can depend on the size and activities of an organisation. Where the Privacy Act 1988 (Cth), the Australian Privacy Principles or other applicable privacy laws apply to the Club or a particular activity, the Club will seek to comply with those requirements.
Personal Information
Depending on how you interact with the Club, we may collect information such as your name, email address, telephone number, address, age or date of birth, parent or guardian details, emergency contact information, baseball participation information, team or membership details and correspondence with the Club.
Where reasonably necessary for participation, safety, insurance or administration, the Club may also receive information relating to medical needs, injuries, accessibility requirements or other information that may be sensitive.
We do not ask website visitors to provide personal information simply to browse the public pages of the website.
Ways Information May Be Provided to Us
Information may be collected when you contact the Club, submit a website or enquiry form, register your interest, become a member or player, volunteer, participate in a Club activity, communicate with a coach or Club official, or otherwise provide information to us.
The Club may also receive relevant information through Baseball Victoria, Baseball Australia, leagues, competition or registration systems, parents or guardians, team officials, service providers or other organisations involved in administering baseball.
As the website develops, additional online forms, registrations, member services or transaction systems may be introduced. Appropriate privacy information should accompany those services where required.
Club Purposes
The Club may use personal information to respond to enquiries; communicate with members, players and families; administer teams, memberships and Club activities; coordinate coaches, officials and volunteers; support player safety and welfare; manage events; maintain Club records; communicate important Club information; meet insurance, competition, governing-body or legal requirements; and operate and improve the Club and its website.
We will not intentionally use personal information for an unrelated purpose unless the person has consented, the use would reasonably be expected in the circumstances, or the use is otherwise permitted or required by law.
Privacy and Junior Baseball
Dandenong Baseball Club works with children and young people and recognises that their personal information requires particular care.
Information about junior players may be provided by, or communicated through, a parent or guardian where appropriate. The Club may collect information reasonably required to administer junior participation, safety, team activities, competition requirements and child safeguarding obligations.
Personal or sensitive information about children should not be collected or published unnecessarily. Child safety and safeguarding requirements must also be observed when handling photographs, contact details, medical information and other information relating to children and young people.
Images and Club Communications
Baseball is a community sport and the Club may photograph or record games, training, presentations, events and other Club activities for legitimate Club purposes such as news, history, promotion and social media.
Where consent or another permission is required for the use of an image, particularly in relation to children and young people, the Club will seek to follow applicable Club, Baseball Victoria, Baseball Australia and legal requirements.
If you have a concern about an image of yourself or your child published by the Club, please contact us so the matter can be reviewed.
When Information May Be Shared
The Club may disclose information where reasonably necessary to people or organisations involved in Club and baseball administration, including authorised Club officials, coaches and team managers; Baseball Victoria; Baseball Australia; relevant leagues or associations; competition, registration and insurance providers; and technology or professional service providers assisting the Club.
Information may also be disclosed where required or authorised by law, or where reasonably necessary to address a serious safety, welfare or integrity concern.
The Club does not intend to sell or trade member or supporter personal information as a commercial product.
Information Generated When You Visit the Website
Like most websites, the Dandenong Baseball Club website and its hosting, security or analytics services may automatically process technical information such as IP address, browser or device information, pages visited, referral information and cookies.
Cookies and similar technologies may be used to operate the website, remember preferences, improve performance, understand website usage or support embedded and third-party services.
The exact technologies used by the website may change as the site develops. This Privacy Policy should be reviewed if new analytics, advertising, member-login, ecommerce or tracking services are introduced.
External Services
The website may link to or use services operated by Baseball Victoria, Baseball Australia, social media platforms, registration providers, website hosts, email providers, payment providers or other third parties.
Those organisations may collect and handle information under their own privacy policies and terms. Dandenong Baseball Club does not control the privacy practices of independent third-party websites.
Before providing personal information to an external service, you should review the privacy information provided by that service.
Email, News and Club Updates
The Club may use contact details to send information that is reasonably connected with membership, teams, events, participation, administration or an enquiry you have made.
If the Club introduces newsletters, promotional mailing lists or similar communications, people should be given an appropriate way to unsubscribe or opt out of communications that are not required for Club administration.
Operational messages that are necessary for membership, safety, competition or team administration may still need to be sent while a person is participating in Club activities.
Protecting Information We Hold
The Club will take reasonable steps appropriate to its circumstances to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
Information may be held in electronic systems, email accounts, registration platforms, documents or other records used by authorised Club personnel and service providers.
Because no website, email system or electronic storage method can be guaranteed to be completely secure, people should avoid sending unnecessary sensitive information through ordinary website enquiries or email.
Your Information
You may contact the Club if you would like to ask what personal information we hold about you, request that inaccurate information be corrected, or ask whether information that is no longer required can be deleted or de-identified.
Whether information can be accessed, changed or deleted may depend on legal, insurance, competition, safeguarding, record-keeping or other legitimate Club requirements. The Club may need to verify your identity before providing or changing personal information.
Raise a Privacy Concern
If you believe the Club has handled personal information incorrectly, or you have a question about this Privacy Policy, please contact Dandenong Baseball Club and provide enough information for us to understand and review the matter.
The Club will seek to consider privacy concerns in a reasonable and timely manner. Where a matter is governed by an external registration provider, Baseball Victoria, Baseball Australia or another organisation, we may direct you to the organisation responsible for that information or system.
Keeping This Policy Current
The Club may update this Privacy Policy as its activities, website, technology, governing-body requirements and legal obligations change.
The current version will be published on this page together with the date it was last updated. Material changes should be reflected in the policy when new information-handling practices or online services are introduced.
